A global professional services organisation is looking for an Administrative Assistant.Responsibilities:
* Provide general administrative and secretarial support, including telephone reception and enquiry handling
* Manage consultant expense reimbursements and timesheet verification using internal systems
* Schedule and coordinate meetings, appointments, travel, and restaurant bookings
* Prepare, edit, and manage documents, reports, presentations, newsletters, brochures, and fact sheets
* Maintain client lists, internal databases, and website content
* Handle mail, delivery services, and office supply procurement, including coordination of equipment maintenance
* Support orientation programmes for new professionals and assist with seminars and on-site events
* Prepare client invoices, confirm billing accuracy, upload invoices, and distribute to domestic and overseas clients
* Process incoming payments and track time charges related to client projects
* Liaise with clients and global support teams regarding invoicing and billing matters
* Conduct client screening and due diligence activities
* Support responses to client requests related to subcontractor and compliance documentation
Requirements:
* Prior experience in a secretarial or administrative role
* Experience providing comprehensive office, billing, and document management support
* Proficient in MS Office Suite
* Strong organisational skills, communication skills, and attention to detail
* Professional level Japanese; business level English
