An international investment firm is seeking an Executive Assistant. The selected candidate will manage administrative, travel, and documentation tasks while ensuring smooth operations for senior professionals. This is a haken role.
仕事内容
An international investment firm is seeking an Executive Assistant.
Responsibilities:

* Maintain calendars, contacts, and tasks, schedule internal and external meetings, and arrange catering
* Coordinate domestic and international travel, including flights, car service, reservations, and troubleshooting issues
* Manage digital and physical filing of confidential deal information
* Answer phone lines, take messages, and escalate as appropriate
* Facilitate obtaining signatures and sending documents to counterparties
* Order office supplies, business cards, and manage other office support tasks
* Submit deal-related invoices, set up new vendors, and support AP processes
* Prepare presentation materials, including printing and binding
* Review, edit, and complete expense reports, ensuring timely reimbursements
* Perform occasional internet research and assist with special projects
* Work with internal and external business applications such as DealCloud and Sansan
* Maintain confidentiality of sensitive and confidential issues



Requirements:

* More than 5 years of experience in a professional corporate environment supporting senior professionals
* Proficient in MS Office Suite
* Highly organised with a proactive mindset and ability to prioritise multiple urgent tasks
* Strong interpersonal communication skills
* Attentive to time zone differences across North America, Europe, and Asia
* Professional level Japanese and English
