As an Executive Assistant and Office Manager, you will provide advanced administrative and office support to the Japan Country Head and Managing Director of Japan. Responsibilities include:
【Executive Assistant】
- Serve as the administrative support to assigned team members.
- Coordinate special activities and liaison functions for assigned team members such as travel arrangements, meetings, interviews and conference calls.
- Answer phones, forward accurate and detailed messages, facilitate conference calls and, as appropriate, disseminate of general information to callers.
- Prepare and process internal expense reports.
【Office Manager】
- Welcome business partners and clients in the office reception area.
- Assist Human Resource Department in the onboarding of new Japan hires.
- Coordinate accounting and tax reporting with 3rd party service providers.
- Coordinate regulatory reporting with 3rd party service providers.
- Ensure monthly accounts are processed in a timely matter.

Minimum Requirements include:
- Two year or four year college graduate from an accredited institution.
- Native Japanese and near native English.
- Ten or more years in an administrative and/or office manager role in a professional office environment.
- Advanced capability in making presentations using Microsoft Office Powerpoint.
- Demonstrate strong initiative and customer service orientation.
- Interact with employees, visitors and vendors with poise and diplomacy.
- Ability to work in a team environment.
- Maintain strict confidentiality.
