Optimize office facilities and systems to promote efficient and effective
office operations.
Reports to the Japan CEO & Regional COO
- Coordinate all aspects of facility management and corporate services in
Tokyo.
- Coordinate all internal and external office moves to ensure efficient moves
in consideration of business hours, proper placement of equipment, and
cost of additional services.
- Develops effective working relationships with all teams to ensure smooth
office operations.
- Review and approve invoices and ensure that the invoices are charged to
appropriate cost centers.
- Manage inventory of all stored office equipment, office supplies, allocates
all storage spaces and enforces standards for furniture and space
utilization.
- Gathers feedback from staff on performance of IT infrastructure and
escalates to their IT and their Business Systems Manager (Singapore)
as appropriate
- Supports their Business Systems Manager in identifying needs and
procuring IT equipment as per IT procurement process.

- Strong organization, prioritization and time management skills.
- Experience in negotiating and working with external service providers:
establishing contracts, contract administration, payment and scheduling
- Exceptional cost-saving sensibilities: comfortable negotiating with vendors
for best rates
- Be flexible in a fast-paced environment balancing multiple tasks and
changing priorities
- Strong communication skills, both written and verbal in English.
- Excellent interpersonal skills.
- Strong customer service orientation, attention to detail and a commitment
to follow-through.
- Good knowledge of Office technology (familiar with internet tools Word,
Excel, and Outlook)
- Event management experience would be a benefit
- Innovative: thinks outside the box, demonstrates critical thinking and
analysis
